Location/Travel: This position is primarily remote. Candidates must reside in the Raleigh area and be available to attend local meetings and events, with approximately 20% travel primarily within North Carolina and the Southeast.

POSITION SUMMARY
The Senior Meetings & Events Manager plays a key leadership role in planning and executing a portfolio of meetings and industry events for one of IMI’s association clients.
This role leads the planning and execution of the organization’s largest annual events: a major industry Tech Show with approximately 365 exhibitors and nearly 3,000 attendees, as well as three golf tournaments held in North Carolina, Georgia, and Florida.
In addition to leading these flagship events, the Senior Meetings & Events Manager provides oversight for the organization’s broader event portfolio and works closely with the Meetings & Events Associate, who provides logistical support for many of the organization’s smaller meetings and networking events.
This position requires strong project management skills, experience with large-scale events, and the ability to collaborate with volunteer leaders, vendors, and internal teams to deliver high-quality events that support the association’s mission and member engagement.
KEY RESPONSIBILITIES
Large Event Leadership
Lead planning and execution of the organization’s annual Tech Show, a large-scale industry exposition featuring approximately 365 exhibitors and nearly 3,000 attendees.
Responsibilities include:
Managing exhibitor logistics and communications
Coordinating booth assignments and floorplan management
Working with venues and event contractors
Managing event timelines and production schedules
Overseeing sponsor activations and exhibitor benefits
Coordinating exhibitor move-in and move-out logistics
Leading onsite event operations
Plan and execute the association’s three golf tournaments held in North Carolina, Georgia, and Florida, including venue coordination, sponsorship integration, event logistics, and onsite management.
Event Portfolio Oversight
Provide oversight for the association’s full portfolio of meetings and events, including networking programs, educational sessions, and committee-led events.
Work closely with the Meetings & Events Associate, who assists with logistical coordination for many smaller events, ensuring events are well organized, timelines are maintained, and operational details are executed successfully.
Vendor & Venue Coordination
Coordinate major event logistics including:
Venue research and selection
Vendor coordination
Contract review and negotiation
Audio visual planning
Food and beverage planning
Room layouts and event flow
Sponsorship & Exhibitor Support
Coordinate fulfillment of sponsorship benefits and exhibitor logistics for major events.
Budget & Financial Management
Develop and manage event budgets, including:
Revenue and expense projections
Expense tracking
Budget reconciliation
Registration & Event Technology
Oversee event registration systems, including:
Online registration setup
Attendee tracking and reporting
Exhibitor registration coordination
Collaborate with IMI’s Client Technology Support team on event technology platforms and integrations.
Marketing Collaboration
Work with IMI’s Marketing & Communications team to promote events through:
Event websites
Email marketing campaigns
Promotional materials
Volunteer & Stakeholder Collaboration
Partner with volunteer leaders, committees, and association leadership to plan and deliver successful events. Provide professional guidance on event planning timelines, logistics, and best practices.
Requirements
QUALIFICATIONS:
5–7 years of experience planning conferences, trade shows, or large industry events
Experience managing trade shows or expos preferred
Strong project management and organizational skills
Ability to manage multiple complex projects simultaneously
Excellent written and verbal communication skills
Experience working with volunteer leaders or member-based organizations preferred
Proficiency with Microsoft Office, SharePoint, and collaboration tools such as Monday.com
Bachelor’s degree or equivalent combination of education and experience
Professional credentials such as CMP, CAE, or PMP preferred
