Position Summary
The Event Planning Intern supports the logistical planning and coordination of The MedTech Conference, AdvaMed’s flagship annual event. This role provides entrylevel support across conference planning workstreams, including registration, speakers, exhibitors, schedules, and internal coordination. The intern will focus primarily on preevent planning and administrative support, working under the direction of the Conferences & Events team.
Key Responsibilities
Conference Planning & Logistics Support
Support planning and coordination across conference workstreams (registration, housing, speakers, exhibitors, sessions).
Maintain planning trackers, timelines, task lists, and internal status documents.
Assist with preparation of runofshow materials, agendas, and logistical summaries.
Administrative & Data Support
Assist with data entry and list management (attendees, speakers, sponsors, exhibitors).
Support research projects on event trends and insights.
Perform basic quality checks to ensure conference data accuracy and completeness.
Registration & Stakeholder Support
Monitor shared inboxes and respond to routine conference inquiries using approved templates.
Assist with registration updates and issue tracking during peak planning periods.
Support internal coordination of deadlines, action items, and followups.
PostPlanning & WrapUp
Assist with postevent documentation, surveys, and data cleanup as needed.
Help compile operational notes and lessons learned for future planning cycles.
Qualifications
Requirements
Current undergraduate or graduate student, or recent graduate.
Interest in event planning, operations, project coordination, or logistics.
Strong organizational skills and attention to detail.
Proficiency in AI tools, Microsoft Excel, Word, Outlook; familiarity with SharePoint preferred.
Reliable, professional, and comfortable working within structured processes.
