Description

Summary of Duties:

The Meetings & Exhibits Manager will be responsible for managing all phases of planning, operations, execution, and financial success of the annual convention, small meetings, and exhibits. Duties include site selection, logistics, meeting room requirements, food and beverage functions; contracting hotels, convention centers and suppliers; developing and managing budgets; researching leads and selling exhibit space. The position reports to the CEO but will coordinate closely with the Education Director to ensure targeted communications and a robust education strategy for our meetings. The Meeting & Exhibits Manager will collaborate on marketing strategy and write promotional copy for conference brochures, website and other promotions related to meetings and educational events.  The Meetings & Exhibits Manager intimately understands how data drives decisions and growth opportunities.

Specific Responsibilities include:

Meetings & Exhibits Operations

  • Serve as project managr and lead all logistical aspects of the Annual Convention, seminars, webinars, and exhibits.
  • Coordinate meeting logistics in collaboration with the Education Director to meet the education program needs.
  • Develop and implement activities for receptions and special events occurring during meetings.
  • Negotiate contracts, evaluate options, and serve as a point of contact with a variety of vendors for events and arrange for all related services with vendors, such as housing, registration and mobile app provider, decorator, audiovisual company, transportation, entertainment
  • Work with appropriate individuals/volunteers to develop and monitor timelines and deadlines related to all aspects of events and exhibitions, ensuring the information is communicated with staff, volunteers, contractors, and other stakeholders.
  • Liaises with event technology vendor (currently eShow, ClearVantage) and related vendors to ensure seamless event operations.

Registration

  • Oversee the registration process including the development of registration polices, forms (online and paper), confirmation communications and onboarding communications for both face to face, virtual and hybrid versions of the annual convention, seminars, and webinars
  • Serve as point of contact for registration services within the event technology vendor (currently eShow and ClearVantage)
  • In coordination with the Education Coordinator, process incoming registrations, the associated correspondence, registrant inquiries and payment collection.
  • Orders registration supplies and coordinates with the CEO on exhibitor sponsored items to be distributed at registration.
  • Coordinates volunteers to staff the onsite registration desk at the Annual Convention
  • Produce weekly/monthly/yearly event registration reports for the CEO and Board as requested.

Exhibits

  • Develop and maintain vendor relationships collaborating with CEO on Industry Partner development programs to drive strategy and revenue goals.
  • Oversee the annual convention exhibitor sales process including the development of registration polices, forms, confirmation communications and onboarding communications for both face to face, virtual and hybrid versions of the Convention.
  • Liaises with the convention decorator (currently Fern) to create vendor hall floor plans, exhibitor kits, shipping rates, and overall vendor logistics
  • Overseas the registration and coordination of exhibit booths at allied organizations and State Societies as requested by the CEO.
  • Coordinate with graphic designer and general services contractor to design the NSH exhibit booth
  • Analyzes data to generate new leads, ideas, and opportunities for exhibitor growth.

Marketing

  • Collaborates with CEO and Director of Education to establish marketing plans including print, marketing automation and social media.
  • Coordinate with graphic designer to create the materials and assets for marketing campaigns.
  • Coordinates with the Director of Education and the Membership & Publications Manager to develop queries which drive effective marketing automation
  • Liaises with social media vendor to provide strategy input and marketing assets for use on NSH social media platforms to promote meetings and exhibits.
  • Executes marketing plans including the creation of email campaigns and print assets.

Committee Management

  • Staff liaison to the Convention Committee.
  • Establish volunteer needs, develop sign up processes and manage convention volunteer coordination on site.
  • Work with Convention Committee leadership throughout the year to secure vendor donations for hands on workshops.

Management

  • In conjunction with the CEO, develops and manages budgets for meetings and exhibits to ensure revenue and expenses are kept within established boundaries.
  • Supports the CEO in monitoring of strategic and operational goals including mutually agreed upon key performance indicator dashboards, to meet or exceed revenue goals and keep expenses within approved limits.
  • Periodically reviews our meetings and exhibits IT stack in collaboration with the CEO and makes recommendations for updates as part of the annual budgeting process.

 Position Qualifications and Requirements:

  • Bachelor’s Degree preferred, and 5 years related experience. Will consider relevant experience in lieu of bachelor’s degree.
  • CMP or DES preferred, or willingness to earn the credential.
  • Strong customer service skills and good judgement.
  • Exceptional organizational skills, the ability to handle multiple projects.
  • Self-motivated and ability to work with minimal supervision in a virtual environment.
  • An understanding of analytics and a proactive approach to making recommendations grounded in data.
  • General comfort with using/learning technology platforms. Knowledge of Euclid ClearVantage (or other AMS), Higher Logic, and Learning Management Systems is a plus.
  • Strong Personal Computer (PC) skills including Microsoft Office (Outlook, Word, Excel, PowerPoint), Zoom, Internet research experience, a basic knowledge of any Content Management System (CMS) and basic PC troubleshooting.
  • A willingness to take responsible risk, a desire to innovate, and the patience to bring others along with you.

Working Conditions

  • Exempt position. NSH’s core office hours are 9:00 am – 5:00 pm Monday through Friday. Currently, the office closes at 3:00 pm on Friday and may change at the CEO’s discretion.
  • NSH is a fully remote organization, and all employees are accountable for on-time and quality outcomes measured against annual objectives.
  • Some travel will be required, including attending the Annual Convention
  • Employee is required to have access to high-speed internet.
  • A dedicated workspace is required for full-time telework.
  • NSH provides a laptop computer and docking station.
