In this role, you will serve as an integral part within the Alumni Relations team reporting to the Associate Director, Alumni Events. This position is responsible for creatively and strategically managing alumni relations projects, with a specific focus on planning and executing Pitt Alumni Association events. They will also be responsible for events administration, including but not limited to vendor management, data and coding, policy compliance, budget planning, and registration management. Some events in the portfolio include Homecoming, Lantern Night, tailgates, and other events featuring University leadership. Travel, evening, and weekend work is required. Some Daily tasks may include:
Conduct outreach to vendors like venues, catering, rental companies, florists, printers etc. to get quotes and solve problems.
Creating timelines, run of show documents, punch lists, staffing documents, budgets etc.
Plans logistics for event day by looking at every possible scenario and having a solution at the ready.
Communicates internally to keep all stakeholders informed.
Creates registration sites in AlumniQ.
Manages inventory of event supplies and equipment.
Coordinating all event day activities including managing a program with the AV vendor.

Coordinates official events and other events in-person and virtually. Oversees vendors, event components, budget, and event marketing.
Essential Functions
Carrying event supplies and moving objects up to 25 pounds.

Physical Effort
Moderate - Moderate physical effort required to stand/move for several hours at a time. may be required to move objects up to 50 pounds with or without assistance of equipment.
