*This position is located in Rosemont, IL, just outside of Chicago by O'Hare Airport. It requires the individual to be in-person 2x per week and does not provide a relocation package.

POSITION SUMMARY

The Meeting Planner supports the Director of Meetings in developing and implementing convention aspects of event strategy.  This position will be responsible for logistical aspects related to AANA events.  This includes, but is not limited to, Annual Meeting, Board and Executive Committee Meetings, MAST Summit, events at the OLC, and Specialty Day.

ESSENTIAL DUTIES AND RESPONSIBILITIES

·      Manage event registration. Take ownership of all aspects of event registration, including system setup, managing a third-party vendor relationship, attendee tracking, payment processing, and post-event reporting, ensuring a seamless and efficient registration experience for all participants.

·      Oversees all aspects of budgeting, planning, logistics, and execution for Specialty Day, the Editors Meeting, events at the OLC, and the MAST Summit.

·      Brings a level of creativity and décor for high touch special events.  

·      Oversees third party supplier needs (DMC, temporary staffing, transportation, housing, registration) and coordination, leads RFP processes and ensures high quality supplier relationships and service delivery.

·      Creates food and beverage plans, grid and specifications while ensuring accurate BEOs and F&B guarantees.

·      Administer comprehensive project timelines for AANA events and manage project plans to meet deadlines and budget.

·      Participates in budget development and oversees budgets for own assigned programs.

·      Create and maintain the specification sheets for all logistics and specifications including audio visual needs, room set up, food & beverage, housing arrangements, travel arrangements for programs.

·      Develops schedules for venue as required (i.e., lights, electricity, air conditioning, staff and vendor access.)

·      Oversees the logistics for the Traveling Fellowship Program.

·      Responses to event questions and general inquires via the Annual Meeting and Meetings inboxes as well as telephone calls. 

·       Support the Director of Meetings with AANA events.  These include, but are not limited to, the Annual Meeting, Board and Executive Committee meetings and OLC events.



Requirements

KNOWLEDGE, SKILLS AND ABILITIES

·       Experience setting up registration systems, such as Cvent, CDS, or Configio.

·       Creative ability and experience in décor for high-touch special events.

·       Organized, resourceful, takes initiative.

·       Exceptional customer service, writing and communications skills.

·       Strong team player.

·       Ability to effectively collaborate internally and externally to achieve goals of the organization.

·       Solid problem solving, analytical, organizational and time management skills.

·       Familiarity with general meeting planning concepts.

·       Ability to interact effectively and to work congenially in a small office environment.

EXPERIENCE AND EDUCATION

·       Background in hospitality or administration.

·       Bachelor’s degree in hotel or meeting management or related field preferred.

·       Minimum 3 years’ experience in meeting management required, including experience in planning high-touch, VIP events.

·       CMP preferred but not required.

·       Association and healthcare experience is strongly preferred.

PHYSICAL DEMANDS

Nature of work requires ability to operate standard office equipment.  Requires ability to communicate and exchange information, collect, compile and prepare work documents, set-up and maintain work files.

WORKING CONDITIONS

Work is performed in a general office setting.  Position requires availability for extended hours and non-traditional hours to perform job duties.  Same day and overnight travel is required to participate at AANA events.
