This position requires a dynamic, creative, and organized candidate to develop and execute events for St. George’s Advancement Office. This role includes all aspects of event planning — from scheduling, preparing digital and printed invitations, and coordinating event logistics to managing vendors, venues, and guests, and completing and analyzing post-event feedback. Candidates must have the ability to collaborate, build relationships, and engage with colleagues and external constituents and stakeholders.
Responsibilities:
Plan and implement all aspects of alumni, donor, and community-building events while strictly adhering to stated budget guidelines and project timetables. Such events include, but are not limited to: Alumni Weekend, Family Weekend, regional receptions, meetings, small dinners, retirement parties, Alumni Council, Black Alumni Council, Dragon Cup, Sports Hall of Fame, and other special events as needed;
Negotiate and secure venues and vendors to ensure high-quality services cost-effectively; manage event budgets, vendor payments, and project expenses in association with the SG Business Office;
Coordinate event logistics (e.g. vendor deliveries, event setup, catering, décor, greeting, registration and/or hosting activities, audio-visual support) with various internal offices, including the Head of School’s Office, Communications, Facilities/Operations, SG Food Service, Housekeeping, Security, and other administrators as appropriate;
Prepare event briefing reports, attendee biographies, conduct prospect research if necessary, and prepare other event-related materials for senior leadership as requested;
Provide post-event and attendee engagement analysis to ensure events remain well-received and attended to maintain an excellent customer service experience for SG constituencies;
Coordinate with SG Communications on pertinent event communications, tracking attendees, encouraging and increasing attendance, and post-event follow-up;
Play an integral role in reunion planning, working with selected class committees to build excitement around reunions and Alumni Weekend.
Requirements
Bachelor's degree and a minimum of two years of relevant work experience, preferably in the field of development, communications, and marketing
Superb written communication skills with demonstrated proofreading ability
Creative approach to content creation and curation and an aptitude for visual communication
Adept at interacting with high-level donors, prospects, trustees, and school officials with tact and diplomacy
Strong attention to detail, ability to meet deadlines
Requires outstanding customer service and interpersonal skills and a passion for event management and donor relations
Prior demonstrated experience managing special events in a fast-paced environment
A working knowledge of social media platforms, event software, and other application technologies
Advanced computer skills with proficiency in software (Salesforce, Google, Canva, and Microsoft and Adobe suites)
Self-motivation and creativity, task- and detail-oriented, willing to work both collaboratively & independently
Demonstrated ability to exercise independent judgment, make decisions based on established policies and procedures, and determine when others should be involved
Willingness to work evenings and weekends as needed
Candidate must pass a nationwide criminal record check
Some travel as required
