ABOUT NACDD:

The National Association of Chronic Disease Directors (NACDD) is a member-based not-for-profit association
that improves the health of the public by strengthening state-based leadership and expertise for chronic disease
prevention and management. NACDD’s core membership is composed of 58 state and territorial health
department chronic disease directors and their staff who protect the health of the public through primary and
secondary prevention efforts and work “upstream” on root causes of chronic conditions. In addition, NACDD
unites 7,000 chronic disease professionals across the United States working in state, tribal, and territorial health
departments, nonprofits, academia, and the private industry to promote health and to reduce the burden of
chronic disease. As a national, nonprofit, professional Association, we advocate, educate, and provide technical
assistance, to inform programming and grow chronic disease prevention knowledge, leadership, and capacity.

POSITION SUMMARY

The National Association of Chronic Disease Directors (NACDD) is seeking a highly motivated and experienced
individual to join our organization as a Meeting Planner (MP) to support our Diabetes Technical Assistance and
Support team and various related NACDD meeting and event initiatives. NACDD is a Member-based not-for-profit
Association that improves the health of the public by strengthening state-based leadership and expertise
for chronic disease prevention and control in states and at the national level. NACDD's role continues to be that
of standing in the gap, linking resources with its member-experts, and together creating a safer, healthier, and
more equitable America.

Reporting directly to the NACDD Sr. Meeting Planner, the Meeting Planner will work with the NACDD Diabetes
Technical Assistance and Support CoLead Consultants and other Diabetes consultants. In collaboration with the
Sr. Meeting Planner the MP will manage all aspects of Diabetes related events (in-person meetings, virtual
meetings/learning labs, webinars, and/or hybrid meetings), member travel, and other determined NACDD
events. Overall, the MP must provide oversight to ensure that the meeting event purpose is achieved efficiently
and seamlessly. This position will initially be 90% virtual meeting based with eventual transition into in-person
for some but not all events.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The essential functions include, but are not limited to the following:
• Meet with NACDD consultants to understand the purpose of the event (virtual, in-person, or hybrid);
• Plan and manage the full scope of the event (virtual, in-person, or hybrid) in a consultative approach
with team members and provide logistical and engagement support to ensure participants are able to
fully participate and be actively engaged in the offering;
• Proactively anticipate team needs and develop and discuss potential solutions;
• Prepare event agendas; take and prepare notes; summarize key action items;
• Host and facilitate events (virtual, in-person, or hybrid) as needed;
• Plan and manage the scope of virtual, in-person, or hybrid events overseeing all aspects of the event to
include during the event and pre/post meeting support:
o Prepare meeting budget and monitor costs;
o Solicit bids from venues and service providers;
o Arrange the details of a variety of task associated with a successful event;
o Inspect venues to ensure that it meets the meeting requirements;
o Determine and manage the setup for functional rooms to include layout, seating, and AV;
o Assess risk management to determine insurance and operational needs;
o Negotiate event contracts in collaboration with NACDD’s contract team;
o Establish and manage online invitation/registration process;
o Coordinate event services such as rooms, transportation, and food selection and service in
accordance with NACDD’s procedures and policies;
o Coordinate AV and other items related to virtual participants, as needed;
o Work with communications department and NACDD Consultants as needed to develop meeting
materials;
o Oversee the developing of meeting packets, notebooks, etc. and/or virtual materials
development and posting in an online format;
o Coordinate shipping of materials to and from the event location;
o Oversee and manage all applicable Member travel coordination;
o Provide onsite support as needed.
• Provide support to webinars and virtual meetings/learning labs:
o Host/facilitate virtual meetings to include virtual face to face engagement on camera with
meeting attendees;
o Provide all needed support (agenda, registration, break out group support, polls, etc.) for
successful event;
o Provide input and implementation on ideas for optimal participant engagement and execute
those selected;
o Provide note taking on key discussion points and action steps.
• Move easily between big picture thinking and managing relevant detail;
• Monitor event activities to ensure the team members and event attendees are satisfied;
• Provide post event support, including review of event invoices and ensure payment is timely;
• Prepare debriefing reports in a timely manner and review with the team for quality improvement;
• Deal effectively with ambiguous and unstructured problems and situations;
• Provide direct support to the Diabetes CoLead Consultant and other project team members;
• Promote the organization in a positive and professional manner in all aspects of the work;
• Perform other duties as assigned.



Requirements

MINIMUM QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)
• Bachelor’s degree in related field with at least 5 years of in-person and virtual meeting/event
management experience;
• In-depth knowledge and understanding of various digital/virtual meeting platforms (Zoom, etc.) and
delivery;
• Demonstrated expert experience in using and operating digital/virtual meeting platforms to perform the
full event lifecycle;
• Demonstrated experience/knowledge of the travel & hospitality industry as well as meetings & events,
including digital/virtual and hybrid events;
• Experience with creating and sharing industry leading practices, and continuous process improvement
and knowledge sharing;
• Ability to translate team member vision into operational and service delivery action plan.
• Assumes responsibility for various special projects, effectively;
• Understands external and internal meeting and event trends and stays current with changes in the
travel industry, laws, regulation, and technology;
• Ability to provide comprehensive guidance and direction to team members in organizing a
meeting/event on all aspects of events (platform choice, approvals, sourcing, planning, staffing,
invitations, confirmation notifications, etc.) in highly consultative manner;
• Ability to share information and ideas with team members to provide or obtain information pertinent to
the meeting/event;
• Experience with initiating conversation with team members on the quality of services at the end of/after
the meeting/event to receive participant feedback;
• Experience with managing/overseeing external suppliers approved and contracted to assist in the
delivery of digital events;
• Excellent communication skills, both written and verbal;
• Demonstrated ability to manage fiscal responsibilities (i.e., creating budget, forecasting and strategic
analysis);
• Proven ability in project management;
• Proven negotiating skills;
• Strong multi-tasker who works well under pressure;
• Demonstrate attention to detail and adaptability;
• Experience with Microsoft Office Suite and webinars/virtual platforms.


PREFERRED QUALIFICATIONS:
• Certified Meeting Planner (CMP) Certification preferred;
• Virtual Event & Meeting Management Certification preferred;


LOCATION/REMOTE:
Atlanta, GA (Hybrid) Note: This position will initially be 90% remote leading virtual meetings with
eventual transition into some in-person events.


Travel Requirements:

Salary Range:
$59,400 - $70,200
