Description

The American Academy of Pediatrics (AAP), the nation’s leading advocacy organization for children’s healthcare, seeks a fiscally responsible public health professional for a newly created role. This position will manage operational activities of the Centers for Disease Control and Prevention (CDC) Learn the Signs. Act Early. (LTSAE) Ambassadors program and CDC Children’s Mental Health Champions program, including budget development and monitoring, reconciliation, audit, and reporting and analysis for each program. In addition, this role with manage and implement program activities related to the CDC Children’s Mental Health Champions program in collaboration with the CDC.  

Reporting to the Manager, Screening and Special Health Care Needs Initiatives, some tasks include:

  1. Manage the Act Early Ambassadors program and the Children’s Mental Health Champions Programs at the AAP, including development, coordination and implementation of program activities, AAP involvement, meeting planning and organization, program activities tracking, and report writing.
  2. Collaborate with funders at CDC, AAP groups and programs, and other key stakeholders to advance project objectives and deliverables.
  3. Provide oversight related to the initiation, administration, and/or close-out of contracts, sub-contracts, stipends, and grants.
  4. Review, monitor, and reconcile financial activity for subcontractors and consultants and deliver routine and ad-hoc financial reporting for the program to AAP leadership and funding agencies as requested.
  5. Provide administrative and project support on the preparation of grant applications, reports, and budget materials to satisfy submission and reporting requirements.
  6. Manage planning and logistics related to live and virtual meetings, webinars, and conference calls. Lead all scheduling efforts, prepare agendas, and attend meetings.
  7. Coordinate educational offerings that occur under the auspices of funded projects, including coordination of meetings of the planning team(s) and faculty/subject matter experts.
  8. Provide resources and technical assistance to pediatricians, other health professionals, parents, and other stakeholders.
  9. Maintain communication with program team members and sub-contracted entities to ensure proper operations of the program, including planning and facilitating monthly meetings with mental health champions.
  10. Participate in program-related calls, meetings, and online events as determined by leadership.
  11. Plan in-person and virtual trainings, including logistics such as hotel arrangements, meeting facilities, meals, transportation, preparation and compilation of materials, and processing meeting expense reports. Provide on-site meeting assistance as needed.
  12. Perform all other duties as assigned.

Qualifications needed:

  1. Bachelor’s degree in public health, health administration, public administration, health policy, education, or related discipline or an equivalent combination of relevant education and work experience required. Master’s degree preferred.
  2. At least two years’ related experience coordinating and managing public health programs required, including fiscal experience such as accounting, budget development and monitoring, preferably in a non-profit and/or medical association, state public health agency, or national advocacy organization. Experience working with volunteer/advisory groups and federal agencies highly desired. Grants management experience a plus.
  3. Excellent organizational, interpersonal, analytical, critical thinking, project management, diplomacy, and verbal/written communication skills required. Must be able to manage multiple projects simultaneously, work both independently and as part of a team, take initiative, collaborate effectively with various internal and external constituents, and promote and maintain a positive and cooperative team-orientated work environment with a commitment to equity, diversity, and inclusion. Strong technical acumen essential with proficiency in MS Office (Word, PowerPoint and Excel), database management, and the ability to learn and apply new technologies; experience with virtual meeting platforms (e.g., WebEx, Teams), document collaboration sites (e.g., SharePoint), budgeting software (e.g., Acumatica) preferred. Some travel and evening/weekend work required, along with the need for flexibility in arranging work schedule to accommodate physicians’ availability.

Hybrid working arrangement of 40% on-site at our Chicago suburb headquarters in Itasca, IL.
