The International Dairy Foods Association (IDFA) is seeking a dynamic and experienced meetings and strategic partnerships professional with notable expertise in managing meetings and events. This individual will be pivotal in overseeing the planning and execution of meetings, conferences, and events while also spearheading the efforts to secure sponsorship opportunities with IDFA’s member organizations or other corporate entities for our programmatic platforms.

The ideal candidate will have a strong background in associations or corporate events, extensive experience working in a team-based environment, executing large scale conferences and education programs, and will possess strong leadership skills, strategic thinking, speaker and sponsorship management skills, with a passion for fostering meaningful connections and generating revenue for IDFA. The selected individual will report to the Chief Operating Officer and will have one direct report, the membership/meetings coordinator.

Job Responsibilities

  • Plan, budget, and organize on-site execution of a portfolio of 8+ conferences along with several meetings, workshops and webinars
  • Develop programming working with cross functional teams for all conferences, meetings, workshops and webinars in collaboration with various IDFA content & SME teams
  • Collaborate with IDFA’s Communications Team in the development of event marketing campaigns
  • Research, evaluate, and select appropriate venues for meetings and events. Negotiate contracts with vendors, hotels and other service providers to maximize cost savings to IDFA
  • Manage conference budgets
  • Oversee and direct conference vendors and speaker and event management firms
  • Develop non-dues revenue strategies related to programming, networking and education
  • Monitor expenses and revenue projections to ensure the financial sustainability of events
  • Identify and research potential member sponsors willing to sponsor key IDFA events and cultivate relationships with key decision makers in target sponsor organizations
  • Prepare persuasive sponsorship proposals tailored to the interests and objectives of sponsors
  • Acts as primary point of contact for sponsors, speakers, and attendees involved in meetings and events


Job Requirements

  • Bachelor’s degree
  • Minimum of 10 years of related experience
  • CMP strongly preferred
  • Strong written and oral communications skills with the ability to present persuasive concepts and strategies to executives and decisionmakers
  • Strong command of site, event (hotels, etc.), and vendor contract negotiations
  • Excellent interpersonal skills and required to be able to communicate with and coordinate multiple teams to manage their participation in and execution of conferences
  • Outstanding project management skills
  • Advanced skills in Microsoft PPT, Word, Outlook and Excel
  • This position is full-time, with hybrid flexibility. The individual must be willing to travel several times a year to IDFA’s Washington, DC offices, IDFA’s annual Dairy Forum conference, and other meetings and conferences as needed
