This position works directly with clients to provide event information and coordinate private rentals, community events, historic tours, and educational and cultural programs.

Essential Duties and Responsibilities
General Responsibilities:
- Provides input to improve operations, streamline work processes, and works cooperatively with staff, clients and vendors to provide quality, seamless, customer service.
- Serve as Mansion Event Representative, when necessary, during functions to minimize confusion and resolve challenges
- Operates management software consistent with accounting standards on an IT platform that is consistent with the District network.
- Assists with maintenance of the calendar of all uses of the Mansion and ensure updated information is provided to the public and District staff.
- May conduct sales tours at the mansion for the purpose of facility rentals, community events, and educational / cultural programs.
- Demonstrates behavior that sets a positive example of integrity, fiscal responsibility and professionalism.
- Follows District policies and procedures.
- Performs a variety of miscellaneous duties such as email and phone correspondence, errands, and supplies needed for programs and operations.
- Other related duties as assigned.
Private Event Rental Business:
- Conducts “one month” walk-through meetings with clients to coordinate details about their event. Creates Banquet Event Order (BEO) and floor plan to be provided to client, vendors and mansion staff.
- Verifies space reservations for walk-throughs, rehearsals, audio/video appointments, etc.
- Gather accurate and up-to-date event information to ensure that event setups are communicated to clients, vendors and mansion staff.
- Leads weekly production meetings,
- Effectively manage lifecycle of events including but not limited to, banquet event orders, event day venue management, social media posts, and post event reports.
- Serves as Mansion liaison for each assigned event to address customer needs, challenges, expectations to ensure event success and safety.
- Assists with equipment needs and vendor arrangements.
- Leads with setting up and cleaning up for events as requested by clients and Mansion staff.
- Attend events to provide operational support to ensure event success and safety.
- Physically sets up events as requested by clients and Mansion staff.
- Assists with equipment needs and vendor arrangements.
- Assists with alcohol acquisition, order compliance, special order request and sales.
- Assists with Mansion marketing efforts to include, but not limited to:
- collaboration with Community Relations staff, to develop and implement a marketing plan to promote the Mansion, using a variety of brochures, calendars, letters, posters, news releases, electronic media content and flyers.
- updates and changes to the website and other social media content for publication and posting.
- provide information regarding the Mansion to schools, officials, community service groups, other departments and the public.
Desired Minimum Qualifications
Education and Experience:
- Associates degree from a college or university with a focus in event management, event sales, event planning or a closely related field.
- Minimum of two (2) years of experience including event planning and management; or
- Any equivalent combination of education and experience.
- Valid driver’s license and good driving record.
- First Aid / CPR certification within 12 months of hire.
Necessary Knowledge, Skills and Abilities:
- Knowledge of event philosophy, sales and administration.
- Knowledge of the equipment, facilities, operations and techniques used in an event center.
- Skilled in the operation of listed tools and equipment.
- Ability to manage, coordinate, and direct varied activities and programs involved in the operations of event venue and public building.
- Ability to establish and maintain effective working relationships with employees, supervisors, vendors, other agencies, participants, instructors, community leaders, volunteers, and the general public.
- Excellent verbal and written communications skills. Including comprehension, implementation, and transmission of written and verbal instructions.
- Proficient in the use of Office 365 including Outlook, Word, Excel, Teams, and other web-based software.
- Photography experience a plus.
- Must possess exceptional organizational skills.
- Represent the District in a composed professional manner, exemplifying integrity and excellence always.
- Ability to perform the essential duties listed above.
- Physically able to move about inside and outside of the Mansion and under adverse field conditions.
- Ability to work outside of normal business hours including evenings and weekends.
Supervision Received
Works under the general supervision of the Sales and Event Coordinator.
Supervision Exercised
Assists in the supervision of event contractors, vendors and volunteers.
Tools and Equipment Used
Computers, related hardware, Microsoft products (Excel, Forms, Outlook, SharePoint, Teams, Word, etc.), event and marketing software, and multi-line VoIP phone, cell phone, portable radio and vehicles. General office equipment such as multi-function printer/scanner/copier, breakroom equipment, etc.
Work Schedule
This is a full-time position working 40 hours per week. Work schedules will vary depending on weather conditions, projects, events, programs, meetings, and staffing levels, and will include some evening, early morning, and weekend hours. Regular and predictable attendance is an essential function of the job.
